How to capture leads from Facebook, Instagram and WhatsApp ads in GoHighLevel
It is 9:40 pm. Someone taps your Instagram ad, fills in a short form, and waits. Your phone is across the room and your team has gone home. By the time anyone replies tomorrow morning, that person has already spoken to two other businesses.
That gap between a lead arriving and a human responding is where a lot of Nigerian businesses quietly lose money they have already spent on ads. GoHighLevel (GHL) can close it, but "turn on automation" is not useful advice. The details decide whether it works: which trigger catches the lead, which channel actually reaches a Nigerian phone, and how to stop the automation from talking over you once you step in.
This guide builds the whole system, one workflow at a time. It skips the product tour (our beginner's guide to GoHighLevel covers that) and the high-level overview in how to automate lead follow-up with GoHighLevel. Here you get working setups, plus the places where Nigerian conditions change the advice and where tutorials written for US businesses will send you the wrong way.
One honest limit first. GHL does not create demand. Ads, content, referrals and your reputation do that. What GHL does is catch every enquiry, answer it within minutes, and keep following up politely until the person books, buys, or says no.
How the pieces fit together
Think of the system as four jobs: capture the lead, respond instantly, follow up until something happens, and hand over to a human. Give each job its own workflow.
I would rather debug four small workflows than one giant one with forty steps. When a lead complains that they got the same message twice, you want to know exactly which workflow sent it. Tags are the glue. Each workflow does its job, adds a tag, and the next workflow picks up from there.
Before you build anything
Spend twenty minutes on three decisions, because they are painful to change later.
First, pick your pipeline stages and name them so a tired team member can read them at a glance. Something like New enquiry, Contacted, Engaged, Booked, Won and Cold works for most businesses. If you have not built a pipeline yet, do that before any workflow.
Second, decide who gets notified when a lead arrives, and where. A notification that goes to a shared inbox nobody opens is the same as no notification.
Third, write your messages in a document first. You will need them for WhatsApp template approval anyway, and writing them away from the workflow builder keeps you from rushing.
Step 1: Capture leads from every source
Every lead source becomes a trigger. Open Automation → Workflows → Create Workflow → Start from Scratch, click Add New Workflow Trigger, and pick the trigger that matches where the lead comes from.
Website and funnel forms
Use the Form Submitted trigger and select the specific form, not "any form." If you have not built the form yet, our guide to creating, embedding and using a GHL contact form walks through it, and the funnel guide for Nigerian businesses shows how the form fits into a landing page and thank-you page.

Facebook and Instagram lead ads
Use the Facebook Lead Form Submitted trigger. GHL's own help article for this trigger says it fires when someone submits an instant form on your connected Facebook Page, with no landing page needed. Three setup details save headaches:
Connect your Page under Settings → Integrations → Facebook, then check Facebook Form Fields Mapping in the same area so the answers from the lead form land in the right contact fields.
Add the Page Is and Form Is filters. Without filters, the workflow fires for every lead form on every connected page, which is how a lead from your sales campaign ends up receiving a message written for your event.
The trigger takes one form per filter. For several forms, clone the trigger inside the workflow or build a separate workflow for each.
You can test it without spending on ads using Meta's Lead Ads Testing Tool at developers.facebook.com/tools/lead-ads-testing.

Click-to-WhatsApp ads
For a Nigerian audience this is often the best-converting source, because the customer is already in the app they use all day. GHL has a dedicated Click to WhatsApp Ads trigger that fires when someone messages you from a Meta Click-to-WhatsApp ad or the WhatsApp button on your Facebook Page.
It can filter by ad ID, post ID, URL or headline, and it passes the ad ID and campaign name into custom fields. That means you can see which ad produced each conversation, which is worth far more than a lead count.
It also has a cost advantage. If a customer starts a chat from one of these ads and you reply within 24 hours, WhatsApp opens a 72-hour window in which every message type is free, according to GHL's documentation.

Step 2: Build the instant-response workflow
Name it so you can find it later, for example "01 | Instant response | Facebook lead ads." Whatever the trigger, the actions are mostly the same.
Add a tag for the source, such as "src-facebook-ads."
Create an opportunity in your pipeline at the New enquiry stage.
Notify the person who will reply. Include the lead's name, phone number and what they asked for.
Send a WhatsApp message.
If the lead gave an email address, send an email too. It costs nothing extra and catches people who are not on WhatsApp.
Here is a first message that sounds like a person and tells the lead what happens next:
Hello {{contact.first_name}}, thank you for contacting {{location.name}}. We have received your enquiry and one of our team will message you shortly. If you already know a time that suits you, you can pick it here: [booking link]
A few things to know about WhatsApp inside GHL before you get attached to that copy.
You need the WhatsApp Business API connection, not the free WhatsApp Business app on your phone. Marketing, utility and authentication messages can only be opened with a template that Meta has approved. Free-form messages are allowed only inside the 24-hour window that opens when the customer messages you. A lead who came from a web form has not messaged you, so every WhatsApp message you send them must be an approved template. Submit your templates days before launch, not the morning of.
Then look at the cost. GHL's rate card lists Nigeria at about $0.054 per marketing message and $0.007 per utility message (check the WhatsApp pricing guide for current figures, because rates change). If Meta classes all four messages in the sequence below as marketing, a lead who never replies costs roughly 22 US cents. That is cheap next to ad spend, but it is worth knowing before you send to a list of five thousand.
Step 3: Build the follow-up sequence that stops when someone engages
Most follow-up automation fails in the same way. The lead replies "yes, I'm interested," and two hours later the workflow sends a generic "just checking in" message because nobody told it the conversation had started. It makes your business look careless.
The fix is a stop signal, and GHL has a built-in tool for it called the Goal Event action.
Create a second workflow, "02 | Follow-up sequence," triggered when the tag from workflow one is added (or when the lead enters the New enquiry stage). Then build the sequence:
Wait 2 hours, then send a short WhatsApp question about what they need.
Wait until Day 1, then send an email with the details and your booking link.
Wait until Day 3, then send a WhatsApp nudge that offers a time slot.
Wait until Day 7, then send a polite closing message saying you will stop messaging.
Add the tag "Cold" and move the opportunity to the Cold stage.
Add a Goal Event action at the very end.
Sample copy for the Day 3 nudge:
Hi {{contact.first_name}}, we still have openings this week. Here is the link if you want to lock one in: [booking link]. If the timing is wrong, just tell us when to check back.
The Goal Event does the real work here. GHL's documentation explains that once a contact meets the goal, they jump straight to the Goal Event step and skip everything in between, wherever they were in the workflow. Because the Cold tag and stage move sit before the goal, an engaged lead skips them and never gets labelled cold by mistake. When you configure it, you also choose what happens if a contact reaches the goal without meeting it: end the workflow, continue anyway, or wait until the goal is met. Since nothing comes after the goal here, "End this workflow" is fine. Only one Goal Event is allowed per workflow, so choose the goal carefully.
I recommend using Contact Tag Added as the goal type, with a tag called "Engaged." Then make every positive signal add that tag:
A tiny third workflow triggered by Customer Replied adds the Engaged tag, moves the opportunity to Engaged, and notifies your team. The trigger fires when an incoming message arrives from a contact and can filter by channel. GHL's documentation describes channel filters such as SMS and email, so test that it recognises WhatsApp replies on your account before you rely on it.
Your booking workflow (Step 5) adds the same tag when someone books.
Your payment workflow adds it when someone pays.
One tag, one goal, several ways to earn it. If your team often reaches out first by phone or WhatsApp before the lead replies, GHL also offers a User Replied goal type, which completes when a team member's reply is delivered. You can also add the Engaged tag by hand when you take a lead over.
The wait steps matter too. GHL's Wait action can resume only inside a time window you choose, so your Day 3 nudge goes out at 10 am instead of 2 am. Use it. Nothing says "this is a bot" like a business message at 2:14 in the morning.
[Screenshot: the follow-up workflow with waits, messages and the Goal Event at the bottom | alt text: GHL follow-up workflow ending in a Goal Event for the Engaged tag]
Step 4: Missed calls, if your customers still phone you
GHL has a built-in Missed Call Text Back feature. Turn it on under Settings → Phone System → Voice → Voicemail & Missed Call Text Back → Missed Call Text Back, tick the enable box, and customise the message. GHL suggests setting the ring timeout somewhere between 10 and 20 seconds, since the timeout is what decides when a call counts as missed.
Two details from GHL's help center that most tutorials skip:
The feature texts back on every missed call, even if the same person rings three times in a row. GHL recommends building the workflow version instead and adding a wait of around 20 minutes or filtering by tags, so a frustrated caller does not receive three identical messages.
There is a separate Missed Call WhatsApp Back feature that sends a WhatsApp message after a missed call. You can enable it on its own or alongside SMS, but GHL warns about duplicates, so choose one primary channel. Edit that message inside the Missed Call Text Back settings, not in the WhatsApp templates area.
Now the part that matters for Nigeria. These features only catch calls that come into a number inside GHL. If your customers call your regular MTN or Airtel line, GHL never sees the missed call. You would need call forwarding to a GHL number (GHL has a help article on call forwarding to a HighLevel number) or, more practically, you can push customers toward WhatsApp and forms and let the earlier steps do the work. Check Settings → Phone Numbers to see which number options are available to your account before you plan around this feature.
Step 5: Bookings, reminders and no-shows
A lead who books should leave the follow-up sequence immediately and enter a different one. Build "03 | Booking confirmation and reminders" with the Appointment Status trigger.
Send a confirmation the moment the appointment is created. Add the Engaged tag so the follow-up sequence stops. Then use a Wait step set to the appointment time, which GHL supports for calendar events and service bookings, to send a reminder a set period before the slot. Add a branch for the Showed and No-show statuses so a missed appointment triggers a polite "should we reschedule?" message rather than silence.
If you take deposits or inspection fees, add a payment link to the confirmation. GHL.ng's pages say Paystack and Flutterwave are integrated through Hordanso, so Naira payments can sit inside the same flow. GHL's Goal Event also supports Payment Received and Invoice Paid types. If your setup records payments inside GHL, you can use those to move a contact to Won automatically. If you confirm bank transfers by hand, add the Engaged tag manually and move the stage yourself.
What changes when your leads are in Nigeria
This is the section generic tutorials get wrong.
WhatsApp is your primary channel
Design around it. Reply speed matters most on WhatsApp, the 24-hour window shapes what you can send, and the template rules above apply to every automated message. Since 1 October 2026, GHL's guide says service messages beyond the first 1,000 per phone number each month and utility messages inside the window are billed per message. The free 72-hour window for Click-to-WhatsApp ads is unchanged. That is one more reason to send people from ads straight into a chat.
Treat SMS as a backup, and test it
Twilio publishes guidelines for Nigeria, and GHL's SMS help articles reference Twilio errors, so those guidelines are a fair guide to what to expect. They are not encouraging for SMS automation. Twilio lists two-way SMS as not supported in Nigeria, so a sequence that depends on a lead replying by SMS is built on sand. Numeric sender IDs sent from international numbers fail to reach MTN, Airtel and 9mobile, and Twilio recommends a registered alphanumeric sender ID instead, with registration taking a few weeks. Nigeria's Do-Not-Disturb registry can block even non-promotional messages. Some content categories are prohibited outright, including gambling, money and loan content, and political and religious messaging.
None of this means SMS is useless. It means you should send a test to phones on MTN, Airtel, Glo and 9mobile before trusting it, and keep WhatsApp and email as your main routes. Also note that many English-language GHL tutorials start with A2P 10DLC registration. That is a US carrier requirement for texting American numbers and does not apply to your Nigerian leads.
Respect time and consent
Twilio's guidance for Nigeria is to message people during daytime hours unless something is urgent, and to get opt-in before sending marketing messages. Build both into the workflow: use the wait window, and make your forms say plainly that the person will hear from you on WhatsApp.
Check how usage is billed on your plan
WhatsApp and SMS usage are charged on top of your subscription, as we explain in our GoHighLevel pricing breakdown. If you use GHL.ng's Hordanso Marketing Suite, confirm with the team how messaging usage is billed on your plan.
Test everything before you send paid traffic
Do this in order, with your own phone and a second phone on a different network.
Press Test Workflow beside the Publish toggle and check each action fires. A workflow left in Draft does nothing, which is the most common reason follow-up never starts.
Submit your own form and confirm the contact, tag, opportunity and notification all appear.
Reply to your own WhatsApp message and confirm the sequence stops. This is the check people skip, and it is the one that protects your reputation.
Book an appointment and confirm the reminder timing.
Check that nobody receives two messages for the same event. Overlapping workflows and the built-in missed call feature are the usual culprits.
Adapting the system to your industry
The skeleton stays the same and the wording changes. For property, the booking step becomes an inspection request, and our posts on how Nigerian real estate agents can stop losing leads to slow follow-ups and GHL CRM automation for real estate agents go deeper, alongside the real estate CRM page. Clinics usually care most about fast replies and appointment reminders, which the clinic CRM page highlights. Schools and law firms can follow the same pattern of enquiry, consultation and payment, and GHL.ng has pages for both: schools and law firms. If you operate in Lagos specifically, the Lagos page covers how the platform fits local businesses there.
What to track once it is running
You do not need a dashboard full of numbers. Watch four things for the first month: how long it takes to send the first reply, what share of leads respond, what share book, and which stage leads stall in. If many leads reply but few book, the problem is your offer or your booking link, not the automation. If few reply, look at your first message and your send times.
Get it built properly
Everything above can be built by one person in a weekend. If you would rather have it set up correctly the first time, book an implementation call with GHL.ng. If you do not have a GoHighLevel account yet, you can start a 14-day free trial (an affiliate link, as noted on our homepage), or look at the Hordanso Marketing Suite if you would rather we provide the platform. More guides like this live in the GHL.ng Knowledge Hub.
Features, menu paths and prices in this guide were checked against GHL's help center and Twilio's Nigeria guidelines in October 2026. Platforms change, so confirm anything that affects your budget before you launch.
Frequently asked questions
Can GoHighLevel generate leads for me?
No. GHL captures, organises and follows up leads from your ads, website, WhatsApp and calls. You still have to bring the traffic. What GHL changes is how many of those enquiries you reply to fast enough to convert.
How do I automate lead follow-up in GoHighLevel?
Go to Automation, then Workflows, and create a workflow with a trigger such as Form Submitted. Add actions that tag the contact, create an opportunity, notify your team and send a first message. Then add Wait steps and follow-up messages after it.
Can GoHighLevel send automatic WhatsApp messages?
Yes, through the WhatsApp Business API connection. The free WhatsApp Business app does not work for this. Messages sent outside the 24-hour customer service window need a Meta-approved template.
How do I stop a GoHighLevel workflow when a lead replies?
Add a Goal Event to the workflow and set it to complete when a tag like "Engaged" is added. Have a Customer Replied workflow add that tag. Leads who reach the goal skip the remaining follow-up steps.
Does automated SMS work in Nigeria?
Not reliably. Twilio's Nigeria guidelines say two-way SMS is unsupported and that numeric sender IDs often fail on MTN, Airtel and 9mobile. Use WhatsApp and email first, and treat SMS as a backup you have tested.
What is Missed Call Text Back in GoHighLevel?
It is a feature that sends an automatic text when someone calls your GHL number and you do not pick up. It only works for numbers inside GHL, so it will not catch calls to your normal MTN or Airtel line.
Is GoHighLevel worth it for a small Nigerian business?
Yes, if you get enough enquiries that slow replies cost you sales. If you get only a few a month, a simple WhatsApp Business app may be enough. See the GoHighLevel pricing breakdown before you decide.
